Tracking Boarding Activities

Would you like to be able to keep track of what needs to be done each day for each animal that is boarding with you? If you are running version 6.0b7 or later, you can!

photoThe Boarding Activities window can be accessed by clicking on the Activity

button on the Boarding Record window or by clicking on the Boarding button on the tool bar from the Patient Card.

This window allows you to enter the animal’s feeding schedule, grooming appointment, training, and any treatments that should be administered while the animal is boarding.

Once you have these items entered, they can be brought up and updated at any time. For example, the feeding schedule is permanently kept on file. So every time the animal boards, you only need to confirm whether it is the same as the last time the animal boarded, and edit it if necessary.

Once the animal is checked in on their boarding reservation, they show up on all appropriate feeding schedules from that time until the time they are scheduled to leave. Feeding schedules can be easily printed from the Boarding Window. Simply click on the Print button on the tool bar when in the Boarding Window, then select which feeding schedule you want AM, Mid Day, or PM, then select the date you want the schedule for. You can print today’s Mid Day feeding schedule to see which animals do get a mid day feeding, or print next week’s schedules to make sure you have the food on hand for the animals you expect to have checked in then.

Scheduling grooming on the Boarding Activities automatically takes you to the appointments schedule so that a grooming appointment is created at the same time.

Training and Treatment items (such as medications that need to be administered daily) show up on To Do lists so they can be printed.

Activities can be checked off as completed so the status of each activity is easy to see.

You can now use Lifelearn Client Handouts with ClienTrax!

photoGreat News! We have just signed an agreement with Lifelearn Corporation of Ontario Canada to allow us to integrate their Illustrated Client Handouts with ClienTrax at a reasonable price (see below). This means that with ClienTrax version 6.0b4 or greater, you will be able to list, view and print your Client Handouts from within ClienTrax. Even better, we have made it possible for ClienTrax to “suggest” to you what handouts you may want to print for the client based on what items you have entered into their New Visit.

This is done by associating the specific handouts with your inventory items. This is done from the notes section of each Inventory Card. From there, you can select and store a link to the specific document you want. From then on, ClienTrax will always ask you if you want to print that document when the item is entered into a client’s New Visit screen. (You will be prompted just before the invoice prints.)

photoBut, you can also print your documents at any other time. Simply select Reports / Handouts and ClienTrax will pop up a window from which you can browse, preview and print any of the handouts you wish.

There are six different sets of Lifelearn Handouts: Canine, Feline, Behavior, Exotics (including birds), Equine and Pharmacy. Each set is priced at a one-time cost of $79.95 in US Dollars. Here is some information from Lifelearn’s Website.

photoWhen clients want estimates on services their pets need, sometimes it’s not as easy as telling them $300 for the surgery, $18 for medications, and $14 for the food they should be on for the next two weeks. The surgery may take more or less time than estimated, and cannot be determined until you begin. A hospital stay may be 3-5 days or longer, depending on how the patient responds to treatment.

You can now give them that information in print! With ClienTrax version 6.0b2 or later, you can set up ranges for estimates in two ways.

The first is at the Inventory Card. The bottom row of the pricing block on the Inventory Card has two fields where you can enter typical ranges, for example if you typically charge $100 for a surgery, but it may frequently be as little as $75 or as much as $125, you can enter 75 and 125 in the Low and High fields. When you enter the item number in the New Visit window, then print the estimate, it will show that the surgery may be $75-$125.

The second way to use Range Estimates is right in the New Visit window, even if you have not set any range information on the Inventory Card.

Once you select an item in the New Visit window, you can click on the “E” button to the right of the price field at the top of the window. This will display fields where you can set up the price range, and even the quantity range! For example, if pet may need to be hospitalized for 3-5 days, but it is not known yet for how long, you can enter 3 in the low quantity and 5 in the high, and print the estimate showing this quantity range, and how it affects the cost.

Of course, you can also use range estimate to show items even if you are not sure yet whether they will be required. For example, if there is a test that may or may not be needed, depending on the result of another test, you can put 0 in the low quantity and 1 in the high to show the client the estimate with and without the cost of that test.

Note that when selecting Batch or Charge Bundles on estimates, you must first enter the bundles into the invoice, then set up the ranges on the individual line items to use Range Estimates with them.

To use Range Estimates, you need to go into the Setup Main Screen in ClienTrax and make sure your Receipt Type is set to Patient Pictures, then select (put a checkmark on) the Range Estimate option on the Setup Main Screen to turn the Range Estimate printing formats on.

Referral Letters!!!

You asked. We answered. Over the past several months many of you have asked us to make it easier to print out a referral letters. We added two different referral letters to the program and both can be edited or added to. The first one I would like to discuss is called a Thank You letter. This will be printed and sent to a client that has referred a new client to your clinic. To print this letter go to a patient card, click on the printer icon and select Ref Thank You.

The second letter is called Referral Letter. This letter can be sent to referring doctors. With this letter you can attach information from the patient’s medical record.

New Patient ID Card!!!

photophotoWhat better way to get free advertising than to have your clients be excited to show a card with your name and number to their friends and family?!

Give your clients something they will want to show off – an identification card for their pet. This official looking pet identification card can be used strictly for fun, with personalized notes about the pet. It can also be used as a way to relay important information about the pet’s care when being boarded or if taken to an emergency clinic.

The front of the patient ID card nicely displays the practice name and phone number above the client and patient information including the pet’s name, owner’s name, address, and phone number, followed by the animal’s rabies information and description. Even if given out in fun as a client builder, having this information handy could be invaluable to the client if their pet became missing.

The back of the card is a free-form text field where you can enter anything from notes like "I love my Mommy!" to medical alerts such as allergies, diabetic condition, etc. to care recommendations to remind the client that annual heartworm testing or regular blood tests because of their medications are important to the continued well being of smallest family member.

Whether you create patient ID cards for fun, to relay medical information, or a combination of both, your clients will love to show your name and phone number around town!
