Here you will find frequently asked technical support questions and their answers.

Q. Why won’t ClienTrax take our passwords?

A. Look at the lower left corner of the password screen. You should see something like c:\omnis7\yourdatafilename.df1 (if you are at the server) or \\server\c\omnis7/yourdatafilename.df1 (if you are at a workstation). The important things to know here are which computer is your server and what your data file name is. If the path at the lower left of the password screen looks incorrect, the password screen is going into a different file. Click on cancel, then at the Select Data file window, click on the arrow at the end of the Look In field. If you are at a workstation, select Network Neighborhood or My Network Places. Then, in the larger white field, double click on your server, then the C:\ drive, then the Omnis7 folder, then your data file. If you are at the server, select the C:\ drive at the Look In field, then the Omnis7 folder, then your data file. When password screen comes up again, check the path. It should now be correct and you can enter your password.

Q. What if I am at a workstation and I cannot see my server when I click on Network Neighborhood (My Network Places)?

A. Close ClienTrax. At your Desktop, double click on Network Neighborhood (My Network Places). It is likely that you cannot see the server here either, meaning your workstation has lost its connection to the network. Shut down the computer and restart it. If this does not reestablish the connection, it may be necessary to restart the entire system (turn everything off, including the hub if you have one, check all cable connections, then bring it back up in the proper order). If this still does not reestablish the connection, you will need to contact your network/hardware consultant.

Q. What are the New Features and changes to ClienTrax since the CD update I received last Fall?

A. Please read the update notes below:

If you do not receive e-mail updates throughout the year, along with the update notes informing you of the changes from one version to the next, you may not have received any information on the many new features we have added since version 6.0c7. Please make sure that all staff members who use ClienTrax are given an opportunity to read this document so they know what to expect from the update.

New Features and Changes to ClienTrax since version 6.0d3 (09/07/04)

6.0d4 (04/18/05)

Change – Virginia State payroll deductions changed.

New – Medical Records – Added support for the MS45 lab machine to download test results.

Change – Medical Records – Capitalized the text in the Finding selection box to show more of the description.

Change – New Visit – If Zero or Price is selected in the Inventory Item setup ClienTrax will now assign the Lower Estimate Qty to zero.

Change – New Visit – ClienTrax will no longer create a new Credit Invoice for Clients that already have a credit balance and make a new payment towards a new invoice. The new credit invoice was causing confusion.

Change – Payroll – Updated LA State payroll withholding.

Change – Medical Records – Lab Templates – Changed the Low and High values to Floating Point numbers for tests with more decimal places. To take advantage of this you will need to replace your current lab templates with new ones. You do not need to do this if you do not need more than 2 decimal places in your tests.

Change – Medical Records – Significantly improved on the time it takes to move from one Medical Record to another on systems with lots of records.

New – Medical Records – Added support for the Hemavet 950 lab instrument to the Lab Import window. Note – This unit does not transmit normal range values.

New – Added a deletion log entry when a held New Visit is deleted.

Changes – Contact List – When you change to the Contact List ClienTrax will now change the user focus to the list window so that you can immediately begin to do a name search.

New – Heartland CC Payments – You can now enter manual Authorization Numbers from a phone call when PC Charge is unavailable or you are in the field.

New – Inventory Cost was added to the Daily Total record.

Change – User E-Mail Settings – Expanded the User E-Mail account name from 20 characters to 50.

Change – Total Day – ClienTrax no longer allows you to do Checkbook Deposits from a Mobil Computer as those types of records do not reconcile.

Change – Reminders – Changed the “Address Correction Requested” message on reminders to “Address Service Requested”.

Change – File Names – Changed 23 file names internally to the ClienTrax data to make way for future support of SQL data bases.

New – Estimates – You can now define the title for your estimate reports. File / Administration / Estimate.

Change – Rx Items – Rx Items are now deleted if you replace the line for that item in New Visit or Medical Records.

Change – Client Summary Report – Changed so that it sorts by number of Visits.

New – Added BA test results to Abaxis VetScan lab results. New test added by Abaxis.

New – Added the County field to the Client Data Base file.

Change – Reminders - Vaccination no longer need to have an item number starting with 50 or 51. However, the Inventory Card will now need to have the Vaccination checkbox checked on for these items. (Update Inventory record, redraw, vaccine certificate, update method to change current 50 and 51 items to this.)

Change – Inventory – The Range Setup option has been redone to allow more fields to be setup and to allow the ranges to be selected from a list. You can also use click to select no consecutive items.

Change – Appointments – It appears that several clinics liked the fact that you could double book appointments without a password. We have added a new option in Appointment Setup to allow this. Put a check in the Allow Conflicts check box.

New – Appointments / Medical Records – Added a new Option to the Appointments Setup. Put a check in “Med Rec Check In” if you want ClienTrax to create a New Medical Record when the patient is checked in. This is defaulted to on in this version to work as it has in the past which is to create the record. If you are not using Medical Records turn this option off.

New – Reminders – Added a Setup button under the Reminders option to allow you to easily change the type of reminder (Card, Letter, etc.) you send without going into Setup first.

New – Reminders – If you use E-Mail reminders and you select the E-Mail rejected option on the Clients More Info screen then ClienTrax will not attempt to send E-Mail reminders to that client but will instead print a standard reminder.

Change – To Do Window – Complete + option. Now defaults the new record to 1 week from today instead of 10 days. You can of course still change that to any day you wish.

Change – Reminders – Lowered the Address Block on the Laser 4 reminders.

New – Rx Labels – Added a new checkbox. “Script Out” – If you click this on then ClienTrax will allow you to enter a non-inventory item in the description that the client can take to a local pharmacy. It will automatically print the Rx Sheet instead of the label when you press enter.

Change – New Visit – When you arrow through inventory items the New Visit default provider would change if you passed on that was setup for a default provider. Now this only happens if you enter that item onto the invoice.

New – Inventory – Added the Total Cost report.

New – Query Window – Now automatically adds the No Purge Date part.

New – Added Transaction Log Entries for Editing and Adding Inventory Qty or Cost from the PO or Payables Invoice.

New – Reminders – Added a new Top Margin Setup option. There are new style reminder cards available now that have slightly different measurements. We cannot support them all (new and old) with a single setting. So we are now providing the ability for you to set the margin for what works for you.

Change – Removed Support for Easy Pay credit card processing. Support for Heartland Payment systems and PC Charge are still available.

Change – Reminders – You can now select between None, Return Service Requested and Address Service Requested messages on reminder cards.

6.0d8 (06/05/06)

Fix – New Visit – Combining Invoices and / or changing the order of items in the New Visit Screen could cause transactions not to be saved correctly when totaling the Invoice. This was also fixed in the emergency release of 6.0d7 on Mar 18, 2006.

Fix – Patient Card QBE – If you selected Reminder Item as the report and used Select Start, ClienTrax would not display the client name display correctly.

Change – Reminders – Shortened the default reminder height on Laser 3 reminders. This allows the Laser 3 reminders to work on certain DeskJet printers with larger than normal hardware margins.

Fix – Medical Records – After printing the Exam Report Card the Exam Page on the screen would show all items as Abnormal.
